HomeMy WebLinkAboutDraft Minutes - Library Board of Trustees - 01/21/2021 - Governance & Nomination Committee Meeting Draft Minutes  South Burlington Library Gov & Nom Committee   Thursday, January 21, 2021 @ 4:30 pm  Location: Zoom Call      Chair Stacey Pape called the meeting to order at 4:41 pm, and a quorum was  established.  Additions or deletions to the posted agenda:  Stacey Pape added discussion of trustee terms  Comments and questions from the public not related to the items on the agenda:  None  Approval of the November 5, 2020 minutes   Margery Vagt moved to approve and seconded by Stacey Pape. Motion approved.  Review Trustee Policies and Procedures for updates  Stacey Pape brought the Trustee policies and procedures back for discussion (latest  version was adopted 2019). She asked the members to consider removing the  document from the website, as it contains much of the same information as our  bylaws, and instead use it to create a document that contains short descriptions  of board roles and committee duties. During this time, it was also discussed that  we should re-visit the discussion of having a Google Docs suite where trustees  can access and update documents. Jennifer suggested we have a password  -protected area on the website where trustees can access and update  documents. The committee will bring this up at the next trustee meeting.  Members Present: Lauren Ballard, Stacey Pape, Margery Vagt  Staff Members Present: Jennifer Murray  Review of Library’s Privacy Policy  The committee reviewed the Privacy Policy currently on the website. The committee  agreed that we should have a SBPL Library header on every page, and to ensure  there is a consistent format (font and structure) for each policy. We agreed to  call out a bit more clearly the definition of a legal minor and the reason to  disclose information to parents/legal guardians for those under 16. We also  discussed re-working of the language around disclosing patron information to  law enforcement. Jennifer is sending the most recent documents via Google  Docs so that the committee could continue to update the language in preparation  for our next committee meeting.   Review of Library Use Policy  The committee reviewed the Library Use Policy and in doing so realized that there is a  more recent version available, which Jennifer will send to the committee so we  can review. We discussed the inclusion of specifics such as teen room and kids  area use, as well as moving the circulation policy separate from the library use  policy.   Trustee Terms  Stacey Pape brought to the committee that this year is the end of terms for four  trustees. They may all choose to re-up for another term, but we should also have  a short list of possible trustees in case they don't.
