HomeMy WebLinkAboutMinutes - Library Board of Trustees - 02/07/2023 - Board of Trustees Approved Minutes South Burlington Library Board of Trustees Thursday, February 7, 2023 5:30 pm Location: Board room – South Burlington Public Library and Virtual online Members Present: Kevin Morgenstein Fuerst, Holly Painter, Stacey Pape, Donna Swartwout, Rebecca Stazi, Penelope Tompkins, Margery Vagt Members Absent: Lauren Ballard Hatch, Patrick Leduc, Ted Lenski, Anne Gilson LaLonde Staff Members Present: Jennifer Murray Friends of the Library Present: Sue Raatikainen Call to Order Chair Called the Meeting to Order at 5:31pm. Review of Library Exits The Chair reviewed how trustees should exit the meeting when the library is closed. Additions and deletions to the posted agenda None Comments and questions from the public not related to items on the agenda None Approval of regular board minutes of January 12, 2023 Upon a motion made by Trustee Penne Tompkins and seconded by Trustee Kevin Morgenstein Fuerst, the Trustees voted unanimously to accept the minutes of the January 12, 2023 Board of Trustees Meeting. Chair’s Report The Chair shared a thank you card from the library staff for the recent appreciation luncheon. The video created by the advocacy committee was reviewed. Appreciation was expressed for Trustees Lee Freeman and Rebecca Stazi for their work on this project. The video will be shared on various social media sites and with library donors. Upon a motion made by Trustee Penne Tompkins and seconded by Trustee Holly Painter, the Trustees voted unanimously to accept the Thank You video to be used by the Library Foundation to send to donors. The Chair attended the recent Community Services committee meeting and said that it was nice to hear the accolades coming from members of the South Burlington community on the library: “Really enjoy the multigenerational use of the library: the kids’ area, the senior center, city hal,l and the library are all safe places to be.” Badges have been created for Trustees to use at library and city events. Pronouns will be included on the name badges. Please share your pronouns with the Chair. A group picture for the library’s website is in the works and the Chair asked that Trustees please send their headshot if you have not yet done so. Finally, the Chair asked for Trustees to email her if they are interested in working on a small committee to review the Trustee and Foundation by-laws. Friends of the Library Report Bookshop ● January sales - $534.11 ● Price hike in the shop beginning July 1, 2023. ● Donations- Open again for all categories and copyright year. Membership Drive ● Slightly behind last year. Winter Concert Series ● First concert, VSO Ensemble was incredible. The auditorium was packed. Many said it was the best concert we have ever sponsored. ● Second Concert, Troy Millette and the Fire Below, Feb. 25 at 12:00 pm. Spring Book Sale ● April 14-15, Preview Night April 13, 5-7. Committee Reports: Finance Committee Report The Finance committee did not meet. Governance and Nomination Committee Report The Committee shared the revised Library Use Policy. The proposed changes were discussed and reviewed by the Trustees. Upon a motion made by Trustee Margery Vagt and seconded by Trustee Kevin Morgenstein Fuerst, the Trustees voted unanimously to accept the revised Library Use Policy. The committee is reviewing the job description for the Trustee as well as committee descriptions and expectations. These should be ready to be discussed at the next meeting. Advocacy Committee Report The committee met to finalize the thank you video. There was discussion around creating an item that illustrates the strategic plan. Costs were shared for interior signage on city buses. Trustees were encouraged to keep liking the social media posts. The “Library Shelfie Day” (1/25) went very well. Trustees were asked to hang flyers of upcoming events at various locations where they work, etc. Foundation Working Group The Foundation working group reported that Penne Tompkins is the Chair and Anne Gilson LaLonde is the Secretary. When the Board of Trustees approved the thank you video, the group discussed the distribution process. The annual appeal funds are approximately $13,000. There are still about 25 auditorium seats left to be named. The grant committee is meeting on February 10, 2023. Finally, the working group proposed the need for a 2–3 hour retreat with Foundation directors and volunteers of the working group. The South Burlington Public Library Board of Trustees Meeting adjourned its meeting at 6:32 pm to discuss Library Foundation business. The Library Board of Trustees Meeting reopened its meeting at 7:10 pm. Director’s Report Library staff have received training from the COTS organization. Staff are offering tech help with partners on line. Busy day in the kids room with a 5th grade class tour of the library, Cool Chemistry being offered to middle schoolers and Math help offered to elementary aged students. Discussions are occurring with Recreation department to see if we can collaborate use of library spaces and offers some programming. The City’s HR department is reviewing the volunteer process so there is consistency on when a background check is needed. Baby brunch was a huge success; 30 families participated and everyone was very happy! There will be a Howard Center intern at the library to be able to offer to community resources to patrons who may need them or have questions. The Director informed the trustees that the question of where the library staff should have access to Narcan is back on the table. There are discussions about the pros and cons to having this resource available to staff. Discussion of library tag line This agenda item was tabled until the next meeting. Trustee Rebecca Stazi will share a list of ideas to the trustees to begin the discussion. Other Business A reminder to send Jennifer Murray agendas for committee meeting the Wednesday prior to the scheduled meeting. Meeting Adjournment Seeing no other business, the Chair adjourned the meeting at 7:30 pm
