HomeMy WebLinkAboutMinutes - Library Board of Trustees - 06/09/2022 Approved Minutes South Burlington Library Board of Trustees Thursday, June 9, 2022 @ 6 p.m. Location: Virtual and SB Public Library Board Room Members Present: Lauren Ballard Hatch, Patrick Leduc, Jay Pasackow, Rebecca Stazi, Donna Swartwout, Margery Vagt Members Absent: Ted Lenski, Lee Freeman, Stacey Pape Staff Members Present: Jennifer Murray Friends of the Library Present: Sue Raatikainen Call to Order Chair Called the Meeting to Order at 6:01 pm. Additions and deletions to the posted agenda None Comments and questions from the public not related to items on the agenda None Approval of regular board minutes May 19, 2022 Upon a motion made by Trustee Jay Pasackow and seconded by Trustee Lauren Ballard Hatch, the Trustees voted unanimously to accept the minutes of the May 19, 2022 Board of Trustees Meeting. Chair’s Report The Chair reminded the Trustees that the July 19, 2022 meeting will begin a new year and we will welcome new Trustees to the Board. We will recognize and thank our outgoing board members. New committees and officers will be decided at this time. Goals for the South Burlington Public Library Foundation will be set by a resolution and there may be volunteer names to consider and approve. We may as a group discuss a new time for the meetings. The Director reminded the Friends of the Library that there is a seat/position on the Library Foundation volunteer working group. Friends of the Library Report Bookshop • May bookshop sales were $193.50. • Book donations are ongoing. Spring Concert Series • May 28 -Blue Sky Boys (Bluegrass and folk)- 55 people attended this fantastic concert. I was pleased with the turnout since it was Memorial Day weekend. • This is the final concert in this outstanding series. Yitzi Gettlesohn should be commended for the high-level musicians that he found this year. Little Free Libraries • The Rotary is working with the Rec. Dept. to install 4 LFLs in SB parks (Overlook, Veteran’s, Baycrest and Farrell). The Friends will provide free books and update the LFLs as necessary. We are already providing this service at the University Mall and the LFL on Farrell St Annual Meeting 6/16/22 • Next week we will vote on our 2023 budget and slate of officers. This year has flown by! Fall Book sale • Nov.3-5. We are trying a slightly later date to attract holiday shoppers. Review of FY22 Goals: • Strategic Planning: Ongoing • Support Staff to Increase access to Library: Yes, and more hours in FY23 • Expand Fund Raising Opportunities: Yes, but not to support hours of operation • Evaluate Large Community Events: Yes, evaluated outside event and possible annual Foundation Event under consideration • Formalize Annual Appeal: Yes Recommendations for FY23 Goals: Board to review and consider the following recommended goals for FY23 • Complete Strategic Planning by January 2023 • Bring in state library consultant to help refocus and engage new and existing trustees to address current needs as described in the Strategic Plan • Plan and implement annual fundraising event conducted by Spring of 2023 • Evaluate future participation in community festivals • Align board advocacy and staff programming and marketing to engage underserved communities • All Committees participate in planning for the new Comprehensive Plan • Develop a strategic plan brochure for sharing with the public that can be updated for annual reports • Complete Strategic Planning Process Committee Reports Finance Committee Preparing for FY23/24 budgeting, on-going support of the Library Director - Will plan on meeting as a committee in July in preparation for preliminary budget. Governance and Nomination Committee Report There are very strong candidates for the open Trustee positions. Names have been forwarded to the City Clerk as recommendations. The final decision rests with South Burlington City Council. There is a plan to reach out to those not selected to encourage them to volunteer in other ways. Upon a motion made by Trustee Patrick Leduc to maintain the Board of Trustees capacity at 11, members. Trustee Lauren Ballard Hatch seconded the motion. The Trustees voted unanimously to maintain Board capacity at 11 members. Advocacy Committee Report No report Strategic Planning Committee June 13 is the next meeting and the group is working on high level goals for the South Burlington Public Library. Director’s Report Jennifer reported that the City is moving to Office 365 and the Library Board of Trustees and the Foundation will need to move documents from the Google Drive to Share Point. The Young Adult Librarian hosted over 140 9th graders and their teachers at the Library. Students were entered in the Summer Reading Club Raffle (for participation and reading). This was the first time the library hosted such a program. It was very well received by students and teachers. Jennifer Murray is serving on a committee this is working on an Equity & Inclusion statement for the City. It was submitted to City Council at the last meeting. The committee was asked to resubmit with changes. Library staff continue to review the collections with an equity and inclusion lens. This is not easy work. Room reservations have brought in $1400 in revenue and Jennifer is pleased that the community is using the rooms/space at the library. Jennifer said the City is looking a customer service goal with a standard of approachability being discussed. Library staff will have similar discussions. Jennifer feels the staff provide good service to the public. As we enter election seasons, Jennifer confirmed that there is a policy for politicians on using space and no solicitation (signs, etc.). The Chair thanked Jennifer and her staff for their hard work and efforts. Executive Session The Library Board of Trustees moved into executive session at 6:49 pm to discuss the performance review of the Director. Other Business None Meeting Adjournment After closing the executive session, and seeing no other Business, the Chair adjourned the meeting at 7:05 pm.
